How renewal of Year Passes works

What Port Pass does before a Year Pass expires, what it costs, and what to do if something goes wrong

Written by Thijs Morlion

Port Pass renews Year Passes automatically before they expire, so pass holders keep access without a gap.

Renewal at a glance

Follow each renewal in the Renewal Status column on the Pass Holders page.

When

What happens

Renewal status

45 days before expiry

You receive the email Renewal required for one or more Port Passes.

Renewal soon

30 days before expiry

The renewal is charged. Once paid, you get a confirmation and the pass holder an invitation to renew.

Pending re-activation

15, 7 and 3 days before expiry

The pass holder is reminded if they have not renewed. In the last 3 days, you and the pass holder both get a final expiry warning.

Pending re-activation (or a payment status, see below)

Pass holder completes the check

The pass is renewed.

Automatic renewal

The pass stays Active and usable until its expiry date.

What the pass holder does

The pass holder repeats the identity check (ID scan and face check) via the link in their email. Once the check is approved, they get a new QR code (the old one stops working) and you get a confirmation email.

The new year starts from the current expiry date, so renewing early costs no validity.

For the pass holder's side, see I received an invitation, what now?

When the identity document expires first

If the ID document expires shortly before the pass (both within 60 days), the full renewal starts earlier and the reminders count down to the document's expiry. The pass holder only does the check once.

If the document expires much earlier, only the document is renewed. The pass keeps its expiry date, and the pass holder receives the email Action required: Identity document about to expire.

If the document expires before the renewal is completed, the pass is deactivated on that date.

What renewal costs

  • A full renewal costs the price of a Year Pass.

  • An ID-document-only renewal costs the re-activation price.

Other renewal statuses

You may also see:

  • Pending payment: the renewal payment has started but is not confirmed yet.

  • Renewal payment failed: payment failed after several attempts. Pay the open invoice in Billing & Invoicing before the expiry date; the pass holder is then invited to renew. See What happens when a payment fails?

  • Pending re-activation validation: the check is awaiting manual review by Securitas.

  • Renewal disabled: no automatic renewal, for example after a rejected review. The pass stays valid until it expires.

If the renewal is not completed in time

When the expiry date passes before the renewal is completed, access is blocked and the pass becomes Inactive. The pass holder is notified by email.

If the renewal was already paid, the pass holder can still complete it via the link in that email. Once the check is approved, they have access again. If it was not paid yet, use Reactivate pass holder in the actions menu.
