This article is for Pass Admins who want to invite multiple employees at once to activate a Port Pass.
Inviting multiple Pass Holders will:
Create a Pass Holder record for each person
Send them an activation mail so they can complete their activation
Set their pass state to
Awaiting Activation
Where to invite a pass holder
When you freshly created a new account, you'll see an empty Pass Holder overview screen. Click the + Add multiple Pass Holders button to add your first Pass Holder.
Step 1: Select Pass Type
First select the type of pass each of the invited Pass Holders will receive. You can either choose for a day pass or a year pass.
Step 2: Upload file
On this screen, you can select the file to use for bulk inviting employees.
We advise to use the correct template file, depending on the account type you have. Either you can download them here, or by clicking the blue Import_Template_... link next to the description.

For standard passes, you need to provide:
First Name
Last Name
Email
Language (in ISO specific format)
For All Access passes, some additional information is requested.
Nationality (in ISO specific format)
Language (in ISO specific format)
Personal details
For Belgians, you must provide the National Registry Number
For all other nationalities, you must either provide the identity card id or the passport id, or both.
đ These identification numbers will be checked during activation. The document your Pass Holder will scan must match the information you provide.
Step 3: (Optional) Correct mistakes
The importer checks the validity of some of the fields:
Email should be of format [email protected]
The language and the nationality should be ISO formatted. If you made a mistake, you will be able to choose the right country or language from a dropdown and correct it.
The rows with light red colour indicate there is an error in one of the row's cells. If within one cell, there is an error, it will colour dark red. When all of the errors are fixed within a row, the red colours will disappear from that row.
When all errors have been fixed, please click Submit to continue.
Step 4: Summary
The last screen will show you an overview what is about to happen. The following information is displayed:
The number of pass holders to be invited
The number of pass holders that have been skipped due to duplicates
You can either cancel or add the pass holders. This action cannot be undone!
